4 Tradeshow Booth Rules You Might Not Know About

Public Group active 8 years, 8 months ago ago

If you’re interested in attending a marketing event with your tradeshow booth, you might be surprised to learn that there are quite a few rules that must be followed. Tradeshow newbies are often caught off guard when they learn what the rules of the event actually state. Although this list isn’t all-inclusive for every event venue, it’s a good start to understanding common regulations within the expo circuit.

Tradeshow Booth Rule #1: Using Event Labor

If you’re attending your first industry expo, make sure you truly understand what you can and cannot do when it comes to installing your tradeshow booth. For instance, it may be against regulations for you to do anything as simple as plugging in computers or lighting systems, attaching graphics with hook and loop tape or even running a vacuum along the carpet in your display. Your event contract should clearly spell out the rules and it’s extremely important that you follow them regarding labor staff.

Tradeshow Booth Rule #2: No Helium Balloons

Helium balloons might seem like a great way to draw attention to your display, however, they’re a big no no! This is because no matter how securely they’re tied, they often float away. While they’ll usually deflate enough to fall within a day or so, many event rules state that they need to be removed at the end of each day. This means that the maintenance staff will need to use a BB gun to shoot them down when the exhibit hall is closed and this means expensive overtime for union labor staff members.

Tradeshow Booth Rule #3: Tall Displays Need To Be Tethered

If you have an extremely tall display, you should plan on having it tethered to the ceiling or a nearby wall. Many booths can be heavy and this means a serious hazard if one falls on an attendee. To eliminate this risk, most venues require that any display over 12 feet tall be tethered. However, if you’re thinking of doing this yourself, think again. The event’s labor staff will have to take care of this step for you.

Tradeshow Booth Rule #4: Buying Insurance

Some shows require vendors to purchase insurance before they even start to unload their display materials. In some cases it’s even required that you use a specific insurance carrier. This requirement is a strict one so make sure that you don’t skip out on this step.

Following the rules is vital, whether you’re at your first expo or you’re a tradeshow veteran. Make sure you read through the information sent to you by the function’s organizers before the show. This will help ensure that you’re familiar with the regulations. The higher-ups within your company will surely appreciate this since disregarding these rules can mean that you may not be allowed to unpack your exhibit. If you are allowed to exhibit, you could be faced with hefty fines or banned from participating the following year.
